ACDI/VOCA an International Development Organization with Headquarters based in Washington, DC, is currently advertising for the position outlined below t work on the NAFAKA activity. The NAFAKA activity is a four-year Cooperative Agreement funded by the United States Agency for International Development (USAID), which works with commercial agribusiness growth and agricultural productivity in targeted value chains in Tanzania.

Position: Admin/fleet Officer

Job Summary: Manages all general administrative functions of the NAFAKA project including facilities management, inventory, logistics, supervising administrative assistants, as well as managing the entire vehicle and motorcycle fleet across all project offices/areas. The position will be based in Iringa, with occasional travel necessary to field offices as directed by the director of Operations.

Responsibilities include but are not limited to:

·         Develop maintenance schedules for all project vehicles, motorcycles, and related equipment, and ensure such maintenance is conducted in strict accordance with these schedules.

·         Manage relationship with garages, monitor invoices, and payments and compile and review monthly fuel consumption reports

·         Acts as liaison between CarTrack and Project, and raise issues/concerns with CarTrack

·         Develop vehicle/equipment usage logs and ensure such logs are completely up-to-date and submitted to the supervisor.

·         Ensure enforcement of vehicle and equipment policies and procedures, and with procurement specialist to ensure procurement of vehicles maintenance is done

·         Manages all lease agreements and oversees the management of all office spaces.

·         Negotiates favorable office leases and ensure landlords are in compliance with lease terms and conditions while maintaining a good relationship  with the landlord

·         Maintain and regularly update inventory of project assets and ensure appropriate use of project assets as per organization policies and procedures and USAID rules and regulations

·         Ensures efficient communication, coordination and functioning within and among project field offices

·         Coordinates the organization and execution of project-related and international consultant travel, volunteer travel, and large general meetings.

·         Arrange for lodging, catering, note-taking, equipment rental and use for project-related events

·         Supervise all the administrative assistants and ensure the smooth operation of project offices

Qualifications and experience

·         A Bachelor's degree in Business Administration, Public Administration or Social Sciences is required

·         Minimum 3 years of Administration and Operations experience required

·         Experience with/Knowledge of working with vehicles and international development Project of large team across multiple offices is an added advantage.
