Job Advert – Grants, Contracts and Compliance Coordinator

Major functions:

Grant and Contract Management:

Under the supervision of the Head of Finance, the Grants, Contracts and Compliance Coordinator will manage all grants at Tanzania Country Office. He/she is also required to support the Head of Finance to improve donor relations, identify funding opportunities and compile the donor database, reformat and submit project proposals, and ensure timely financial and technical reporting to donors and WWF Network.

He/she will also liaise with the Regional Office in Nairobi to ensure effective coordination of funding submissions and donor communication with other WWF project offices.

Compliance:

Under the supervision of the Head of Finance, the Coordinator will be responsible for supervising sub-grantee auditing and implementation of the audit findings and follow-ups. He/she will also ensure that the sub-grantees are in compliance with all WWF spending guidelines and reporting structures.

Major duties and responsibilities:

  1. Timely reporting and communication on donor contracts and internal monthly reporting of all WWF TCO programmes and projects.
  2. Building institutional real-time knowledge of donors and various funding opportunities relevant to the needs of the country office.
  3. Developing funding strategies for the various thematic and strategic areas requiring funding within the country office.
  4. Advising and supporting project managers on donor guidelines, policies and procedures, and contractual obligations, particularly on reporting, procurement, matching funds, spending rate, and visibility requirements to ensure compliance.
  5. Preparing local grant guidelines for activities with partners and following request for proposal program announcement requirements.
  6. Providing needed training to local partners to ensure their activities are in accordance with regulations and requirements.
  7. Reviewing all subcontracts and agreements.
  8. Assisting the Head of Finance in building donor relations, attending meetings with donors as appropriate and required, and maintaining timely communication with donors in conjunction with Project Managers and appropriate Country Managers.
  9. Assisting the Head of Finance with all sub-grantee compulsory auditing.
  10. Collaborating with the Head of Finance on implementing audit-related matters arising from the auditing of the sub-grantee.
  11. Ensuring sub-grantees comply with all WWF spending guidelines and reporting structures.
  12. Performing any other duties as assigned by the Head of Finance.

Profile:

  1. Degree or Master’s degree in project management or equivalent.
  2. Minimum of 5 years’ professional experience in project management ideally with experience working with government and donors.
  3. Previous work experience with international organizations involved in environmental and/or community issues.
  4. Proven ability in preparation and submission of proposals, and in implementation of conservation programmes.
  5. Excellent written and oral communications skills, fluency in English and Kiswahili languages.
  6. Good computer knowledge; strong planning and organizational skills.
  7. Proven interpersonal skills, including the ability to develop and maintain strong relationships at all levels within WWF and with donors, and as required, with other external stakeholders.
  8. Ability to work within a multicultural environment.
  9. Dynamic, responsive disposition.
  10. Open, adaptable, team spirit; ability to work under pressure.

Working Relationships:

Internal: Interacts and works closely and on a regular basis with the senior management team, programme and finance staff in Tanzania Country Office and field offices. Coordinates and interacts as appropriate with Donors, WWF Eastern and Southern Africa Programme Office in Nairobi, WWF International, and other WWF offices.

External: Interacts as required with governmental institutions, donors, and other stakeholders, in collaboration with the Country Director as appropriate.
