Operations Assistant
HR World Ltd, on behalf of our client, is seeking an Operations Assistant to streamline daily business operations. This role involves planning purchase orders, assisting with resource allocation, organizing transport logistics, and liaising with clients on order delivery.
Responsibilities
- Process and dispatch orders to various terminals for loading.
- Generate loading orders based on sales orders.
- Ensure smooth loading and offloading processes.
- Resolve disputes arising during loading and offloading.
- Verify that transporter vehicles meet industry requirements.
- Monitor engaged trucks to ensure designated routes and timely delivery.
- Allocate and monitor deliveries made by company vehicles.
- Schedule and facilitate routine vehicle servicing.
- Prepare and request motor vehicle expense reports.
- Report loadings daily and monthly.
- Reconcile all loadings with third-party statements.
- Review weekly item fulfillment reports and submit weekly reports on pending invoicing.
- Send daily loading reports with loading status.
- Report un-loaded item fulfillments to the supply/finance team for cancellation.
- Ensure loading/offloading checklists are completed, signed, and submitted weekly to supply management.
- Liaise with finance on payments.
- Mark completed loadings for finance invoicing.
- Follow up with finance to ensure complete invoicing for all loaded orders.
Qualifications
- Bachelor's Degree in Logistics or a related field.
- Approximately 2 years of relevant professional experience in oil, gas, or energy supply and operations.
- Proven operational competencies.
- Strong teamwork skills.
