Position: Personal Assistant

Reporting to: Chief Executive Officer

Responsibility

Provide full administrative and secretarial support to the CEO and ensure smooth management of day-to-day affairs, and most effective use of his/ her time. Handle sensitive and complex issues in a professional and objective manner and take initiatives as appropriate in CEO’s absence.

Main Tasks

1. To manage CEO’s electronic diary and manage his calendar appointments accordingly
2. To manage CEO’s travel arrangements for Business and personal activities.
3. Ensure all incoming correspondences are dealt with by the CEO or other staff as appropriate.
4. Maintain records of CEO’s contact, data management and filling
5. Screen calls, inquiries and requests, and deal with them when appropriate.
6. Organize meetings and ensure the CEO is well prepared for those meetings, prepare meeting agendas, pre-meeting briefings, meeting papers and minutes preparation.
7. Produce documents, briefing papers, reports, presentations for the CEO and proofread all incoming & outgoing documents.
8. Prepare CEO’s travel expenditure sheet and Per Diem retirements.

Education/Experience

• Bachelor's Degree in Customer relation, Business administration or any related field.
• Exceptional interpersonal and communication skills, Very good knowledge and comfort dealing with visitors from diverse societies

• Very good analytical & reporting skills
• Ability to deal with sensitive information with discretion and maintain confidentiality
• Proficient with Microsoft applications
• At least I (one) year of experience in the position
