PURPOSE OF THE POSITION:
- To provide and guide on Store keeping procedures including but limited to receipt, storage, requisitions and issuing of supplies and materials.
- Responsible and in charge of Musoma Office Maintenance and general upkeep of the Store.
- The position is based in Musoma and Report to the Senior Administration Officer.
KEY AREAS OF RESPONSIBILITY:
- Maintains records, prepares reports, and composes correspondence relative to the store activities.
- Determines items and quantities of stock to be purchased and maintained in the store based on the various project’s needs.
- Establish standards and methods for packaging and storing supplies and materials and maintain catalogs of available stock items
- Supervise the unpacking of incoming goods and ensure proper wraps and packs for outgoing goods.
- Stocks materials according to a prescribed inventory system and develop a system where materials are issued as per approved procedures to ensure materials issued are as per requisitions received and delivery is made to authorized personnel.
- Ensure there is physical classification system to items of similar nature are stored in pre-designated locations for ease of access and optimization of time and efforts in material handling.
- Resolve discrepancies in requisitions, purchase orders, and delivery reports by contacting vendors or requesters.
- Familiar with description (specification, unit of quantity, application) of material in order to provide the right materials requisitioned.
- Design and implement and maintain a filing system that ensures Goods and supplies issued and other documents are preserved and easily retrieved.
- Coordinate and participate in special and scheduled stock counts as required to ensure there’s up to date report of stored inventory in the store.
- Follow all relevant safety, quality and environmental control procedures and instructions so that personal safety/the safety of others is not jeopardized and a minimum level of product/service quality and environmental impact can be guaranteed.
- On-going communication with end user representative for delivery of materials.
- Daily/ on-going communication with Material planners in user departments for scheduling of issues.
REQUIRED QUALIFICATIONS:
- High School with Diploma or degree in procurement, supplies and or materials management.
- 1-2 years of experience working as a warehouse or store keeper.
- Knowledge of standard practices, procedures, storage, and requisitioning of supplies and materials.
- Ability to maintain records and prepare reports as required.
- Working experience in an NGO set up is preferred.
