Overview
Internship Program Overview
Jhpiego Internship program aims at providing experiences to young professionals and mentoring them into professional roles. This internship will provide an experience for a young professional to gain good on-the-job experience. The tasks involved are not critical and do not require a full-time staff to complete.
The Administrative Intern will have hands-on experience and the ability to learn and gain work experience, which will support the candidate in their job search and increase their experience in Office Administration tasks.
Responsibilities
Essential Duties and Responsibilities
- Serve as an Office back-up staff and receptionist
- Receive and verify all items received in the office, ensuring all items have the FGRN and all other documents
- Receive accommodation Invoices, register them in the tracker, and send them to Mwanza
- Scan compiled invoices for purchase order approval on Docuvantage
- Record and report on Office assets to ensure they are tagged
- Follow up and record incoming and outgoing of all couriers for easy tracking
- Update the office supplies movement tracker as issued to the officer
- Ensure the storage is well arranged and clean
- Reconcile vendor statements against invoices submitted to finance
- Follow up on missing invoices from vendors after reconciliation
- Work with cleaners to ensure the office, kitchen, and washrooms are clean at all times
- Follow up on utilities bill payment, i.e., electricity (LUKU), water bills
- Manage the use of the Conference room – it should be clean, arranged, and ready to use at all times.
Preferred Qualifications
Qualifications and Requirements
- Recent Undergraduate degree and/or Advanced diploma in Business Administration/Management or Public Administration
- Secretarial training and/or office management/operations training
- Willingness to intern, learn, and gain workplace experience
- Availability to start immediately and willingness to commit for at least three months
- High integrity and ability to maintain confidentiality
- Passion and desire to work with people at different levels and cultures
- Good written and oral communication and presentation skills in Kiswahili and English
- Computer literate in standard software including MS Office 365 (especially MS Word, MS Excel, and MS Outlook)
