Job Summary: Under the supervision of the Chief of Administration, the incumbent will be responsible for Estate, Inventory and Transport management as well as all hospital Administration matters. S/he will be responsible for managing and maintaining DCMC properties to make sure they are safe for patients, staff, and visitors
Qualifications and Experience:
- A holder of a first Degree in Management; Business Administration with a basis either Estate, Public Administration, Materials Management, commerce and any other field
- Three (3) years of working experience in a related field in busy and reputable institution preferably religious institution.
Duties and Responsibilities:
- To check and organize repairs and maintenance activities for the hospital
- To make sure that properties are being used for their intended purpose
- To deal with tenancy applications, monitoring tenancy agreements, manage hospital statutory rents including land rents, property tax e.t.c
- To review and check the potential of DCMC property for both short and long-term use and advise as appropriate
- To coordinate refurbishment, renovations and office arrangements while making sure that the buildings meet health and safety standards
- To manage Hospital premises cleaning, waste disposal, catering, parking and security
- To ensure proper distribution, maintenance, repair and utilization of all the vehicle fleet
- To manage office systems like IT and equipment and make sure that they are functional all the time
- To ensure that DCMC maintains the right amount of stock to meet patients and hospital operations’ need to avoid overstocking items that tie up cash
- To ensure the integrity of assets management and property contract systems and mechanism in place as per policy and procedures, property and inventory management; receiving, issuing, returning, disposal and inspection of DCMC property
- To maintain and manage inventory of materials and stocked products/supplies which include stock locations and profiles
- To coordinate periodic safety inspections and testing of any specialized piece of utility equipment
- To keep equipment in good conditions and order replacements necessary to keep operating costs at a minimum
- To track and report key functional metrics to reduce expenses and improve the effectiveness
- To maintain store records of all purchases and prepare various work report at different point of time
- To coordinating transport service of the hospital and assist drivers to know and follow up periodical service manual of motor vehicles
- To follow up repairs and maintenance to garage with co-operation of the drivers; to check log book and make sure that fuel consumption is correct as shown in mileage
- To prepare different License for DCMCT motor vehicles and follow up registration of new DCMCT motor vehicles
- Implement and exercise delegated authorities and any other instructions and directives as may be issued Management from time to time.
