JOB SUMMARY: ASSISTANT, HR & GENERAL ADMINISTRATOR

 

To support Human Resources Manager in the provision of high quality and professional human resources service through the effective administration of the human resources system, policies, and procedures including recruitment and selection, talent development, compensation and benefits, health and safety, and training & development.

Assisting General Manager in administration and coordination of all company activities, providing support for all types of organizations and businesses and their staff members

 

Key Responsibilities

 

A. System, Policies and Procedures Administration

 

Provide inputs to the development, review, and update of all necessary EWTZ human resources systems, policies, and procedures to ensure all changes in the country and in local labor laws and regulations are reflected.

  • Provide support to Human Resources Manager in the planning and organization of the effective communications of all human resources policies and procedures to all staff
  • Recommend employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale and motivation
  • Promote the department’s Diversity agenda through the delivery of HR practices and policies.
  • Maintain employee-related databases
  • Prepare and analyze reports that are necessary to carry out the functions of HR and EWTZ
  • Fully utilize existing Human Resources software to the company's advantage.
  • Maintaining physical and digital personnel records like employment contracts and leave requests.

 

B. Talent Development and Learning & Development

 

Support the implementation and continued enhancement of talent strategies and initiatives related to talent acquisition, learning and development, and employee engagement

  • Provide support to Human Resources Manager to put in place clear workforce plans, identifying future resourcing requirements, succession plans, and potential future skills gaps
  • Provide administration service in the recruitment and selection of all staff
  • Assist in the coordination of the onboarding planning and logistic arrangement for new staff to ensure that new staff receive adequate information about the organization and its systems, policies and procedures and facilitation to get along with colleagues and new working environment
  • Arrange logistics and coordinate relevant training programs for all staff based on the approved training plan.
  • Maintain an awareness of staff comments and any complaints to identify any areas that may need development or improvement

 

C. Performance management processes

  • Support in providing leadership and coordination for Performance Management and improvement initiatives, ensuring their alignment to improving the company operational and program efficiencies and effectiveness; and ultimately evaluating the impact that these initiatives have on organizational performance.
  • Monitoring staff performance and attendance

D. Other Technical Specifics

 

  • Provide administration services in HR aspects including compensations and benefits, health and safety, security, contract management, monitoring of staff leave plans, filing, correspondence, staff separation, etc to ensure these are implemented effectively.
  • Prepare payroll calculation, personal income tax, social security fund and follow up with Finance function
  • Maintain up-to-date records related to HRM including HR database, lists of training, and HR service provider for the effective management of human resources and ensure that the data is accurate and kept in private and confidential principles
  • Organize office social events such as visiting sick people, a new baby born, funerals, staff retreat, team building, etc.
  • Maintain an awareness of developments and up-to-date knowledge of the human resources management and employment legislation

 

E. General Management Support

  • Assisting General Manager in administration and coordination of all activities
  • Responsible for complying with the BRELA by making sure all registrations are done by aligning with the BRELA registration procedure and renewing on time.
  • Ensure comprehensive general risk insurance for the company is taken and claims are handled as appropriate.
  • Maintain comprehensive information on all company properties including necessary documentation relating to ownership and registration, handle confidential documents ensuring they remain secure.
  • Assist in organizing for transport, hotel, invitation letters, visa procedures for both international visitors and local senior members.
  • Manage daily administrative operations of the office and assist all units in resolving problems related to the day-to-day operations;
  • Oversee the management of office supplies and stationery and ensure replenishment;
  • Ensure that administrative office procedures and established standards are adhered to and maintained in all aspects of work;
  • Record fuel costs of all vehicles according to the established system and ensure proper utilization and that fuel deposits are replenished in good time
  • Ensure efficient service provision for in-house meetings by the administrative support staff

 

Are we looking for you?

  • Must have a Bachelor’s Degree in Human Resource Management, Law, Business Administration, or equivalent degree from a recognized University/Institution.
  • Minimum of 4 years experience in HR and Administration.
  • In-depth knowledge of labor law and HR best practices
  • Ability to form working relationships with people at all levels
  • Strong understanding of and the ability in people development, interpretation, and action labor laws.
  • Knowledge and understanding of people management theories/ principles and ability to coach others around best practices.
  • Ability to plan, organize, coordinate, multi-task, and prioritize under pressure with minimal supervision.
  • Evidence of the practice of a high level of confidentiality.
