PCI is a non-profit organization dedicated to preventing diseases, improving community health, and promoting sustainable development worldwide.
Building on a successful pilot program conducted in Ethiopia, PCI will be implementing a Afriscout Webubit Project in northern Tanzania. AfriScout is an innovative, Base of Pyramid (BOP) social enterprise and a subsidiary of PCI. AfriScout is seeking to improve climate-smart management of northern Tanzania’s drylands and the livestock that rely on them by scaling access and use of AfriScout, a mobile application that provides pastoralists with actionable grazing data. With the support of USAID, Google and other donors, PCI developed grazing maps that fuse traditional livestock herding knowledge and practices with real-time satellite imagery on vegetation and water that is then integrated into an android-based mobile application. Since its inception, PCI and AfriScout have reached over 7,500 users. With support from Enabel-Wehubut, PCI aims to expand its reach and build a financially sustainable social enterprise through a fee-for-service model.
The Afriscout Finance Associate is responsible for Financial control, maintain system and internal control at Arusha office, document staff travel, advances, accounting record transactions, timely reconciliation, facilitate payments, manage cash register and petty cash, facilitate procurements, prepare bid analysis, solicit profoma invoice, Bank transaction and link with ARC to prepare monthly Advance requests and Financial reports.
This position will report directly to the Afriscout Regional Coordinate based in Arusha
OBJECTIVE OF THE POSITION:
The Finance Associate provides day to day Finance PCI Program office Arusha. S/he provides functional financial management support to AfriScout Regional Coordinator and Driver. S/he is responsible to support the program in responding to requests from the both PCI and AfriScout Finance, Administration and HR units.
POSITION REQUIREMENTS:
Education:
- Bachelor or Advanced Diploma in Accounting from recognized
Experience:
- 2-3 years relevant professional experience including petty cash management
- Experience working in a multi-cultural environment
- Highly organized, detailed oriented, sound judgment, strong interpersonal skills
- Working with integrity
KEY AREAS OF RESPONSIBILITY:
Facilitate Payments:
- Manage petty cash register and fund including processing requests, preparing cash vouchers; reimbursements, reconciliation and keep supporting documents
- Coordinate approvals disburse and monitoring cash advances reconciliations, daily cash counts and records.
- Receipt of all funds paid to PCI in Arusha
- Manage cash register (cashbook) for designated bank account
- Provide support in the creation of financial reports for the project as required by the finance
- Based on approved Activity & Budget proposal facilitate distribution of cash to participants.
Financial Control
- Implement and maintain system and internal control at Arusha office in compliance with PCI policies and under guidance from Finance Department
- Maintain register for distribution of cheques and other sensitive financial documents.
- Facilitate documentation of staff travel and activity advances.
- In liaison with Regional Coordinator facilitate preparation of monthly cash forecast
Accounting
- Monitor the correct use of PCI funds to the corresponding accounts
- Assist with development of financial reports
- Record approved transactions into ACCPAC AP Module and GL Module accounting system.
- Monitor timely reconciliation of staff travel and activity advances
Procurement:
- Prepare Quote Comparison Chart (Bid Analysis) and sole source justification based on solicited quotations (pro-forma invoices).
- Liaison with External Institutions
- Facilitate bank transactions including cash withdraw and deposits, facilitate official communication between PCI and Banks
