Main Purpose of the Role

  1. To direct, plan, organize and manage the Human Resources Department’s plans and its activities through the development of the department’s strategy which is aligned to the overall corporate strategy.
  2. To advice management and staff on Human Resource related issues and develop related policies and procedures that are reflective of the business needs, statutory compliance and addressing industrial needs.
  3. Supervise the day-to-day activities and overall performance of all Human Resources and Administration staff to create and sustain a performance culture that consistently exceeds the expectations of all stakeholders (customers, employees, shareholders).

 

Key Responsibilities

 

Human Resources Duties

  • Advise management on HR Strategies that are aligned with the overall corporate strategies while forming partnerships with the organization’s business units.
  • Offer support to departments in developing strategies and meeting needs related to talent identification, training development, performance management, succession planning and retention.
  • Engaging employees and assisting in handling inquiries regarding company personnel policies, benefits, and procedures.
  • Managing employees’ grievances and ensuring that they are addressed.
  • Conduct quarterly employee engagement surveys that dictate the Human resources development strategy
  • Management of staff database and trackers
  • Overseeing Leave management including daily processing of leave applications, sending monthly and quarterly updates, recording new enrolments, and ensuring adherence to the leave policy.
  • Ensuring adherence to labor laws and other external factors that may affect the running of the department.
  • Ensuring the daily operations of the HR department are conducted in accordance to department guidelines and that the operations are completed in time and are of high quality
  • Handling disciplinary issues including conducting hearings, investigations and advising management in actions to take in accordance to the laid down policies and the relevant statutes. Ensuring that all HR reports are up to date and that required actions are duly followed up.
  • Participating in the recruitment process by determining the recruitment needs, circulation of notices and advertisements, short-listing candidates, preparation, scheduling and coordination of interviews, interviewing candidates and issuing feedback to candidates,
  • Ensuring all employees are engaged on legally binding terms including temporary staff.
  • Carrying out background checks and obtaining references from previous employers and other referees in order to determine applicants' credibility.
  • Coordinating the on boarding process of new employees including Induction and maintenance of the probation reviews database.
  • Facilitating and coordinating in-house and external training activities for staff.
  • Conducting training needs analysis advised by performance reports and developing trends in the industries.
  • Conducting actual trainings to staff in Human Resources Management, Safety and Health related matters, and those addressing performance needs noted.
  • Ensuring that all roles have updated job descriptions and are ratified by the employees and line managers.
  • Conducting performance reviews audits to ensure that the same are done and that the findings are recorded in the relevant templates
  • Conducting performance analysis and implementing the reward and consequences as per the company’s performance management policy.
  • Sit in the Rewards and Benefits committee and carry out secretarial duties.
  • Timely submission of payroll data to the Finance department for processing.
  • Responding to staff’s payroll grievances and queries.
  • Communicating to employees on their benefits.
  • Formulate employee engagement strategies geared towards enhancing their employee lifecycle in the organization.

 

Administration Duties

  • Assisting the General Manager in setting up strategies, goals and plans meant for ensuring that the administration functions run effectively.
  • Formulation of administration policies and procedures and ensuring full compliance by the entire organization.
  • Overall custodian and administrator of the company’s safety and health related policies.
  • Preparation of the company’s safety and health calendar and coordination of events.
  • Coordination of relevant audits and follow up on completion of recommended actions.
  • Organizing for and also conducting trainings for staff in aspects touching on safety and health.
  • Conducting periodic internal safety and health audits and ensuring that nonconformities are addressed.
  • Lead coordinator for all administration related projects
  • Liaising with the relevant departments in ensuring that all employees have tools of trade relevant to their work and requisitioning on their behalf e.g. Personal Protective Equipment.
  • Facilitating acquisition of furniture, office equipment, personal protective equipment, Telephones
  • Overseeing the disposal of, surplus and unclaimed equipment or property
  • Cleanliness and hygiene: ensuring that the facility remains clean, safe and well maintained
  • Overseeing construction and renovation projects to improve efficiency and to ensure that facilities meet environmental, health, and security standards, and comply with government regulations.
  • Utilities management including waste management, pest control, fire and safety equipment, water services, electricity, ventilation/air conditioning, waste, etc.
  • Ensuring that all the company processes and operations are legally compliant, and all licenses and permits are in place including statutory and medical board licenses.

             

Knowledge and Experience Required

  • Bachelor’s degree in a business-related field or any other social sciences
  • Post Graduate training in HR shall be an added advantage (iii) Five years’ experience in a similar role.
  • (iv)        Member of good standing in relevant professional regulatory body
