1. Overall Purpose
- To support Alistair Logistics operations such that administrative objectives are met at the required work performance standard and in accordance with company behaviors and values.
- Ensure compliance with company policies and procedures and relevant Tanzanian legislation
2. Accountabilities & Responsibility Areas
- Reception
- Greets office visitors and personnel in a friendly and sincere manner
- Administration
- Prepare original POD documents and send invoices/ FedEx them. Send copies to accounts.
- Dispatch cheques to company suppliers.
- Welcoming guests at the reception and answering the phone calls
- Maintaining office filling for documents and ensuring safe custody
- Ensure all due diligence for the company and all vehicles, motorcycles, trucks and trailers is updated on time.
- Follow up with clearing agent to ensure timely release of imported items at the port
- Maintain office equipment, stationery and consumables
- Receiving company guests, arranging for their transport and accommodation.
- Human Resource
- First process point for Driver application letters ensure all required docs are availed.
- Arrange for drivers to go on test with current AJC drivers which involves contacting them, briefing on what is involved, ensure they have required safety gear for the trip.
- Get an evaluation of the drivers on test from current AJC drivers
- Profiling applicants for interviews and assisting in the interviewing process.
- Processing advances, loans, warning letters, leaves and staff contracts.
- Attending disciplinary meetings with Human resource consultant and ensuring required paperwork is up to date.
- Maintaining Employee files by filing documents.
- Processing employee contracts
- Work together with accounts department in making follow-ups for collections for money owed to the company by employees.
- Business Development
- Maintain and update the customer database
- Maintain and update pricing database.
- Prepare and propose sales quotations to management and follow up for approval.
- Enhancing the customer experience
- Identifying and applying for tenders/ business opportunities
- Assist the finance and BD team on any purpose when needed
- Any other task assigned to you

3. Formal Training/Education
Bachelor of Business Administration
4. Knowledge/Skills & Experience
- Minimum 2 years experience
- Ability to work effectively with different cultures.
- Strong communication and administration skills.
- Self-motivation, leadership and management skills
- Ability to use electronic office software, word, excel, email
