A Junior Personal Executive Assistant (JPEA) provides high-level administrative support to an executive, ensuring the efficient operation of their daily activities. Key responsibilities include managing the executive’s calendar, coordinating meetings, following up on deliverables, handling correspondence, and preparing documents and presentations. The JPEA acts as a liaison between the executive and internal/external stakeholders, prioritizing tasks and managing projects to meet deadlines. Understanding the business, strong organizational, communication, and problem-solving skills are essential, along with discretion and the ability to handle sensitive information. The role demands adaptability, proactiveness, and keen attention to detail to facilitate the executive’s productivity and success. Responsibility

  • Calendar Management: Scheduling and organizing meetings and appointments.
  • Email Management: Handling, prioritizing, and responding to emails on behalf of the executive.
  • Document Preparation: Creating, editing, and proofreading documents, reports, and presentations.
  • Record Keeping: Maintaining and organizing files, records, and databases.
  • Liaison: Acting as a point of contact between the executive and internal/external stakeholders.
  • Correspondence: Drafting and managing correspondence such as emails, letters, and memos.
  • Meeting Coordination: Organizing and preparing for meetings, including setting agendas, taking minutes, and following up on action items.
  • Prioritization: Managing the executive’s time efficiently, ensuring that their schedule aligns with priorities.
  • Reminders: Setting up reminders for important tasks, deadlines, and events.
  • Task Tracking: Monitoring progress on various projects and ensuring deadlines are met.
  • Support: Assisting with the planning and execution of projects and events.
  • Issue Resolution: Addressing and resolving any administrative issues that arise.
  • Decision Support: Providing relevant information and support to aid in decision-making.
  • Expense Reports: Preparing and managing expense reports.
  • Budget Tracking: Assisting with budget management and financial planning.
