Job Summary:

The Manager, Reconciliations Team, is responsible for effectively managing the reconciliations of Nostro, Central Bank, DSM Remote ATMs, and Bank’s Suspense Accounts. This role includes operational and service management responsibilities and managing the performance of the reconciliations team to meet or exceed agreed service levels.

Job Description:

Accountability: Manage and Control Risks (50%)

  • Develop and implement reconciliation procedures specific to the business unit.
  • Implement control processes to manage operational risk, including fraud follow-up.
  • Monitor compliance with training requirements for account owners, reviewers, and reconcilers.
  • Ensure General Ledger accounts are reconciled according to business rules.
  • Oversee the reconciliations team to ensure accuracy and validity.
  • Ensure appropriate allocation of accounts to owners, reviewers, and reconcilers.
  • Escalate items requiring attention to the Chief Operating Officer (COO).
  • Perform tests on controls to ensure reconciliation disciplines are adhered to and exceptions are tracked.
  • Prepare minutes for the weekly COO Recon Committee and track actions to ensure closure.
  • Ensure accounts are reconciled according to business rules and procedures.
  • Coach and monitor team members to improve productivity and system use.
  • Track and resolve audit findings related to reconciliations.
  • Perform periodic testing to ensure compliance with reconciliation governance.
  • Challenge and verify reasons for outstanding items and ensure meaningful actions are taken.
  • Attend and actively participate in the Balance Sheet Review Committee (BSRC), escalating entries above SLA.

Accountability: Service Management (15%)

  • Act as an escalation point for complex queries.
  • Support other functions in understanding products and their impact on the general ledger.
  • Ensure timely resolution of queries from/to account owners.
  • Monitor and ensure achievement of service level agreements (SLA).
  • Adhere to SLAs and escalate breaches.
  • Ensure audit findings are resolved within due dates.
  • Provide ongoing coaching and feedback to the reconciliation team.

Accountability: People Management (15%)

  • Develop and agree on performance objectives and targets with the team.
  • Conduct regular performance reviews.
  • Provide coaching and feedback to the reconciliation team.
  • Recommend job rotations and training for team members.
  • Identify training needs and ensure they are addressed through personal development plans.
  • Establish a succession plan for the team.
  • Foster teamwork and a sense of responsibility.
  • Address poor performance through formal processes.
  • Motivate team members and recognize their efforts.
  • Participate in Employee Opinion Survey (EOS) activities.
  • Resolve team grievances and escalate issues as necessary.
  • Manage Performance Development, ensuring quality and fairness in assessments.
  • Communicate targets and monitor performance against objectives.
  • Develop and implement quarterly and monthly plans to ensure delivery.

Accountability: Management of Operational Risks (20%)

  • Reduce the number of outstanding exceptional items.
  • Address and resolve audit findings promptly.
  • Ensure compliance with regulatory requirements, Risk Management Framework, and internal NBC Policies.
  • Manage risks and escalate suspicious transactions.
  • Monitor and escalate any major differences or discrepancies in reconciliations.
  • Report items at risk and advise on corrective actions.

Education and Experience Required:

  • Bachelor’s Degree in Accounting or equivalent qualification.
  • IT qualification.
  • At least 5 years of experience in a similar managerial role.
  • Certified Public Accountant (CPA).
