Premises & Administration Officer

Job Purpose

Support all bank premises, owned and leased, including relocation and maintenance of premises, and provision of administratively support to all end users. He will also support Bank Archiving services.

Key Responsibilities/Tasks

Projects:

  • To provide end to end project management support to all projects and maintenance relating to premises by ensuring that projects are completed and implemented with clear project guidelines on schedule, within approved budgets and within defined scope.
  • Filing of all the documents in related to the project.
  • To conduct regular project meetings.
  • Timely escalation of issues that require the intervention.

Stationeries:

  • Ensure various stationery items are adequately printed and stocked at all the time.
  • Provide stationery requirements of the branches as per indents.
  • Ensuring to record the movement of the stationeries in a register and tallying it with Physical stock.
  • Negotiate and procurement of stationery and other consumables at competitive rates.
  • Providing monthly reports on the consumption and distribution of the stationery items to the branches.

Motorbikes and Motor vehicle:

  • Ensure that ALL vehicles are having valid licenses, Permits, Insurance at ALL given time.
  • Timely services are being done of ALL the vehicles.
  • Monthly reports on expenses for each and every vehicle.
  • Filing of necessary documents for the same.

Lease Agreements:

  • To ensure the lease agreements of the bank are up to date.
  • Advice the expiry of the agreements 3 months prior to the expiry date.
  • Ensure all the processes are legally completed.

Repairs & Maintenance:

  • Ensure that the generators and Air condition are timely serviced.
  • All the faults should be timely repairs. These may be doors, walls, electrical and plumbing items.
  • Coordinate with the technician’s/service providers.
  • Maintenance of the archive centre as per the banks internal policy and BOT requirements.

Disposal of Banks Assets:

  • Dispose of the bank’s assets, as per the management instructions.

Risk Management:

  • Ensure effective adoption and utilization of risk management tools.
  • Drive remediation of risk management exceptions identified during audit or risk reviews.
  • Promote risk management culture.

Administration:

  • Follow up on courier, tracking and pick up of deliveries.
  • Follow up with city officials for reserved parking slots, permits and approvals of the same.
  • Follow up on statutory permits for generator placements on public space with city council.
  • Any other work as directed by the supervisor.

Records Archive

  • Ensure all records are archived in accordance with the bank policy and regulations.
  • Ensure retrieval of records are procedural done.
  • Ensure security of the records at the archive.

Academic / Professional Qualifications

  • Bachelor’s degree in Business Administration, Banking, Finance or related field

Working Experience Required

  • A minimum of 1 years working experience at Officer level
