Who We Are Looking For
We are actively seeking a motivated and detail-oriented Procurement and Admin Assistant to join our vibrant team in Dar Es Salaam, Tanzania. This role is pivotal in supporting the Senior Officer, Administration Logistics & Procurement in the effective management and execution of all procurement activities. The Procurement Assistant will be instrumental in sourcing, purchasing goods and services, cultivating strong vendor relationships, and ensuring that all procurement processes are characterized by efficiency, cost-effectiveness, and strict adherence to company policies and regulatory frameworks.

They will possess a strong foundation in procurement, with demonstrable experience in developing tools and processes that optimize performance, manage vendor relationships effectively, and ensure unwavering compliance. This individual will be a cornerstone of our operational success, contributing significantly to sourcing essential goods and services, nurturing supplier partnerships, and upholding organizational policies and regulatory requirements.
Key Responsibilities
Procurement Execution: Assist in the implementation of procurement strategies to align with and meet organizational needs.
Vendor Relations: Cultivate and maintain robust relationships with suppliers to guarantee the quality and reliability of goods and services.
Contract Administration: Supervise contract execution, ensuring full compliance with company standards and legal mandates.
Compliance: Guarantee that all procurement activities rigorously adhere to all relevant laws, regulations, and organizational policies.
Cost Management: Actively identify and support initiatives aimed at cost savings and improved operational efficiency.
Procurement Documentation: Maintain meticulous and accurate records, including comprehensive vendor files, purchase orders, and executed contracts.
Logistics Coordination: Manage staff movement planning, facilitate flight bookings, and coordinate transportation arrangements.
Market Research: Conduct thorough market analysis to provide informed insights for strategic procurement decisions.
Risk Mitigation: Identify potential risks within procurement processes and support the implementation of effective mitigation strategies.
Team Collaboration: Work collaboratively with various teams to understand and effectively address their unique procurement requirements.
Sustainability and Ethics: Champion and promote sustainable and ethical practices throughout all procurement processes.
Administrative Support: Undertake and manage additional administrative tasks as required to support the team's overall function.
Other Duties: Perform any other assigned tasks as directed by management.
Qualifications
The ideal candidate should possess the following:
Education: A Bachelor's degree in Supply Chain Management, Business Administration, Finance, or a closely related field.
Certification: A professional certification in procurement (e.g., CIPS, registered under PSPTB) or be actively pursuing such certification.
Experience: A minimum of 2 years of relevant experience in a procurement role, with a preference for experience within NGOs or consulting environments.
Software Proficiency: Experience with MS Dynamics or any ERP system powered by MS Dynamics is considered a significant advantage.
