THE OFFICE OF THE WHO REPRESENTATIVE IN TANZANIA ANNOUNCES THE FOLLOWING VACANCY.

Under the overall supervision of the WHO Representative and the Public Health & Liaison Officer, the incumbent will carry out the following tasks:
DUTIES AND RESPONSIBILITIES
- Oversee and monitor the information flow of the office of the PUBLIC HEALTH & LIAISON OFFICER, screening, sorting, analyzing and identifying areas requiring action.
- Ensure effectively and timely follow up on requests for information, briefings, and other actions, emanating from the office of the PUBLIC HEALTH & LIAISON OFFICER, liaising with units/teams, as appropriate.
- Support the PUBLIC HEALTH & LIAISON OFFICER to keep the WHO Representative (Tanzania) informed of all facts and developments which concern the organization.
- Support the PUBLIC HEALTH & LIAISON OFFICER to prepare and update Zanzibar profile data sheets.
- Maintain contact with all Zanzibar’s institutions and associations involved with health including civil society organizations.
- Support the PUBLIC HEALTH & LIAISON OFFICER to keep the Government fully informed of the scope of cooperation provided by the WHO.
- Support the PUBLIC HEALTH & LIAISON OFFICER to strengthen collaboration with local public information media to enhance collaboration with the organization.
- Manage visitors and communication with tact and discretion.
- Provide background information for appointments to official visitors and/or staff members.
- Maintain PUBLIC HEALTH & LIAISON OFFICER agenda and calendar.
- Draft general or administrative correspondence and finalize for clearance and signature.
- Analyze incoming correspondence and requests in the light of background material, instructions, policies, and precedents.
- Ensure that technical reports and documents meet WHO standards.
- Assist the PUBLIC HEALTH & LIAISON OFFICER to disseminate relevant information from the Governing Bodies, the Director-General, the Regional Director and WHO Representative.
- Using appropriate tracking tools, follow-up on and ensure that target dates and deadlines are met and that correspondence and queries are responded to in a timely manner.
- Arrange, coordinate and lead administrative preparation for meetings, seminars, workshops and prepare information materials including PowerPoint presentations.
- Obtain briefing and background materials for meetings, seminars, workshops, etc. to be attended by the team’s professional staff, checking their availability and ensuring they have the appropriate briefing files and documents.
- Using GSM/Oracle, prepare travel requests for official WHO travel. Make flight and hotel reservations, prepare travel files and deal with other related matters as required.
- Assist in generating financial and budget reports and support imprest management as required.
- Initiate and responds to queries and correspondence on accounts and financial transaction as required
- Perform other related duties as required or instructed.
KNOWLEDGE/QUALIFICATIONS
Essential: Degree or Advanced Diploma in Business Administration. Accounting or Finance
Desirable: Diploma in Public Health or Health Management.
Experience
Essential: 7 to 10 years of relevant experience.
Desirable: Experience in the administrative support position in the WHO or any other UN agency. Experience in Oracle-based or other ERP systems.
Languages: Excellent knowledge of English. Knowledge of French would be an asset.
