Administrative Officer (1 Position)

Expected Duty Stations: Dar es Salaam

Job Summary:
The Administrative Officer is the primary point of contact for both external and internal clients. This role encompasses essential front desk functions, including managing phone calls, welcoming and directing visitors, and assisting with office budget oversight. The position also provides crucial administrative support such as coordinating travel arrangements, general office management, and meticulous document and records management for incoming and outgoing correspondence. Additionally, the role offers administrative support to the Country Director (CD) as needed.

As a vital part of the HR unit, the Administrative Officer contributes to the efficient coordination of HR activities and the maintenance of a well-organized and professional MSI Tanzania support office environment. The position reports to the People and Culture Director, ensuring a responsive and client-centered HR function.

Key Responsibilities:

Key Responsibility 1: Front Desk Management

Greet clients and visitors with a positive attitude.
Assist clients in navigating the office.
Contribute to workplace security by maintaining visitor logs.
Answer phones professionally and route calls appropriately.
Manage and coordinate all incoming and outgoing calls.


Key Responsibility 2: Administrative Support

Coordinate domestic and international travel, including flights, hotels, and pickups.
Schedule appointments and meetings for MSI Tanzania visitors, partners, and stakeholders.
Provide diverse administrative support, including copying, scanning, filing, taking notes, and making travel plans.
Prepare meeting and training rooms.
Assist with retirements and travel plans for the CD.


Key Responsibility 3: Office Management

Ensure office equipment (internet, telephones, printers) is in good working condition.
Maintain office boards by updating with current news and removing outdated information weekly, ensuring neatness.
Supervise general cleanliness of the building and grounds within the area of jurisdiction.
Promptly report any defects or problems detected in the office.
Ensure the safe-keeping of tools, machines, supplies, and equipment entrusted for service facilitation.
Plan all office events and coordinate HR initiatives.


Key Responsibility 4: Document and Record Management

Receive all letters and packages and distribute them to the appropriate departments.
Maintain office records and files.
Effectively manage contracts for all agreements with vendors providing office services.


Key Responsibility 5: HR Support

Serve our clients with a smile☺, always.
Coordinate the onboarding program for new employees.
Support staff with insurance queries and claims processes.
Schedule interviews and organize logistics with hiring managers.
Prepare interview packs and handle candidate confirmations.
Perform other duties as assigned by the line manager.


Minimum Requirements:

Qualifications:

Bachelor’s Degree in Business Administration or related fields.


Experience:

At least 2 years of work experience in an office administrative position (preferably with an international NGO).
Experience in administrative support for an HR unit is an added advantage.
Hands-on experience with online applications, including air ticketing and other relevant applications.


Skills:

Fluent in English and Kiswahili, both in reading and writing.
Proficient in IT (Word, Excel, Outlook).
An eye for detail.
Systematic and logical approach.
Ability to multitask and prioritize workload.

Ability to handle emergencies effectively and efficiently while streamlining office operations.
