Office Administrator

We are seeking a detail-oriented and proactive Office Administrator to join our team. This role is crucial for ensuring the smooth day-to-day operations of our office.

Core Responsibilities

Daily Administration:

  • Manage incoming/outgoing mail.
  • Maintain physical and digital filing systems.
  • Handle customer service inquiries via phone or email.

Logistics Support:

  • Assist with shipment tracking.
  • Prepare basic shipping documents (like invoices or delivery notes).
  • Coordinate with drivers for schedule updates.

Facility & Supplies:

  • Monitor office supply inventory.
  • Request replenishment.
  • Supervise external cleaners to ensure a well-maintained workspace.

Data Entry & Reporting:

  • Enter shipment data into specialized software.
  • Help prepare daily or weekly operational reports for senior management.

Travel & Meetings:

  • Assist in booking local travel (hotels and transport) for staff.
  • Coordinate venue arrangements for internal meetings.

Requirements & Qualifications

Education:

  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.

Experience:

  • Minimum 2 years of experience in office environment administration.

Technical Skills:

  • Proficiency in MS Office and basic computer literacy.

Key Traits:

  • High attention to detail.
  • Punctuality.
  • Ability to multitask in a fast-paced environment.
  • Proficiency in English, written and spoken.
